Cancellation Policy

All scheduled appointments require a minimum of 48 hours’ notice if you need to cancel or reschedule your appointment

You can modify your appointments in your Jane account, however if you are trying to make changes with less than 48 hours’ notice, you will need to contact the clinic directly at info@newbeginningscounselling.ca. All accounts must have a valid credit card on file prior to their first session. Late cancellations, changes, or missed appointments will result in a charge to the credit card on file regardless of the appointment type scheduled.

At New Beginnings Counselling, we are committed to providing high-quality services to all clients. To maintain this standard, our services are billed based on clinical time, which includes:

  • Time spent in sessions.
  • Time spent outside of sessions on tasks such as analysis, preparation, documentation, and practice materials, etc.

New Beginnings Counselling provides regularly scheduled services to meet the needs of all our clients. Although some cancellations are unavoidable, we ask that your therapy time be a scheduled event in your weekly calendar.

Late Cancellation: Cancellations that occur with less than forty-eight (48) hours’ notice, this is considered a late cancellation, and the provider will charge a Cancellation Fee to the Credit Card on file regardless of the appointment type scheduled. This payment is due at the time of the appointment change. Once payment has been received an e-receipt will be sent to you via email and is also available to you on the client portal. Please note, most insurance companies/third-party direct will not cover the cost of late changes, and this will be at your own expense.

  • To cancel a scheduled session without a fee, we require more than 48 hours’ notice.
  • Cancellations with 3-48 hours’ notice are subject to a $100.00 cancellation fee.
  • Cancellations with 0-3 hours’ notice are subject to 100% of the appointment fee.

Insurance Information

Below, you will find additional information relevant to therapy. Should you have any further questions, we encourage you to contact us directly.

Private Insurance and Extended Health Benefits: If you have private health insurance, we recommend contacting your provider before your first appointment to confirm your coverage. Many extended health benefit plans include counselling services provided by a Registered Social Worker (RSW) or a professional with a Master of Social Work (MSW) degree. Please review your policy or speak with your provider directly to ensure these services are covered under your plan.

Direct Billing: Direct billing is offered for BlueCross/BlueShield, Veterans Affairs, Jordan’s Principal, CMTO, VQRP+, and NIHB. For other insurance providers, an electronic receipt may be submitted for reimbursement if RSW is covered by the plan.

Non-Insured Health Benefits Program (NIHB): If you have First Nations and/or Inuit status, you and your family members may be eligible for coverage for individual, family, and group counselling sessions. Eligible clients can receive up to 22 hours of counselling per 12-month period through an approved provider, such as a Registered Social Worker, on a fee-for-service basis. In some cases, additional hours may be approved based on individual needs. This initiative is part of a broader government effort to improve access to mental wellness services for Indigenous communities across Ontario.

Income Tax Claims (No Insurance): If you do not have coverage for therapy through student benefits or an extended health care plan, you may still be able to claim your sessions as medical expenses on your income tax return. After each session, a registered receipt will be emailed to you, including all necessary details required to submit a medical expense claim to the Canada Revenue Agency (CRA). Please see the CRA Website (Details of Medical Expenses) for more information.
